Executive Assistant ($19 – $22 an hour)

We’re looking for a detail-oriented and self-motivated Jill/Jack of all
nonprofit trades with strong administrative skills, excellent follow-through, and an
interest in learning on the job. A well organized person who is able to prioritize and
juggle multiple deadline-driven tasks will thrive in this position. The Executive
Assistant provides support with human resource, development, and administrative
tasks. When we’re able to return to working in the office, s/he will staff the front
desk, creating a spirit of welcome and service by greeting guests, answering phones,
and responding to inquiries. The description below reflects the general nature of the
position, acknowledging that projects will pop-up along the way based on
organizational needs and the employee’s interests, skills, and abilities.
Essential Duties and Responsibilities
Executive Support – 50%
Calendar meetings, make travel arrangements
Complete and submit mileage and expense reports
Create board meetings packets including information gathering, memo
writing, and packet assembly and distribution
Coordinate board meeting logistics
Research and other project work to support the Executive Director
General Administration 15%
Monitor and distribute or respond to messages in our info@ email account
and general voicemail
Serve as the liaison with the property management company for our Santa
Cruz office
Be our front desk warm welcome, when our Santa Cruz office re-opens
Stay abreast of what’s happening across the organization in order to route or
answer inquiries directly
Human Resources – 15%
Coordinate on-and off-boarding of employees
Research human resource questions
Manage human resource files (updating, reviewing, etc.)
Assist in managing Gusto and EASE platforms
Respond to employee questions regarding our Employee Handbook, Gusto,
and EASE
Assure organization’s human resources are in compliance via ThinkHR
Development – 20%
Manage accurate gift entry into Little Green Light database
Generate and assure accuracy and timeliness of gift acknowledgements
Knowledge, Skills, & Abilities
Well-organized and detail-oriented
At least two years in a nonprofit office setting
Excellent interpersonal skills, with high professionalism, humor, and grace
Comfort managing up – i.e. helping direct/prioritize your supervisor’s work as
Curiosity and interest in learning, especially in regards to nonprofit operations
Self-directed with a passion for (or at least great satisfaction in) meeting goals
and deadlines
Solid writing skills
Open communicator, unafraid to ask questions
High expectations for quality
Strong computer skills with proficiency in Google Suite,MS Office, and
database management

Salary & Benefits:
Salary range $19-22/hr
